Claude Projects tutorial: explain your business once
In this guide
For store owners, freelancers and creators who open Claude and re-explain the same business, tone and product in every new chat.
By the end you will have created a Project, added knowledge and instructions, and set up three Projects you can reuse every day.
The facts below come from Anthropic's help article "What are Projects?".
What a Project is
Anthropic describes Projects as self-contained workspaces with their own chat histories and knowledge bases. Every chat you start inside a Project can use the files and instructions you added to it.
Who can use it
Projects are available on all plans, including free accounts. Free users can create up to five projects. Paid plans (Pro, Max, Team, Enterprise) add retrieval mode for the knowledge base, which expands capacity when your files get large. Sharing a project with teammates is for Team and Enterprise plans.
Step 1: create the Project
Create a new Project and name it after the job, for example "Brand voice" or "Customer replies". One job per Project keeps the instructions short.
Step 2: add project knowledge
Upload the documents, text, code or other files Claude should know about. Good starting files for a COD store:
- A one page description of your brand and your customer.
- Your price list and delivery terms in MAD.
- Five of your best product descriptions or ads.
- Your most common customer questions and the answers you approve.
Step 3: write the project instructions
Instructions shape how Claude answers in every chat in the Project. Anthropic's examples are asking for a more formal tone or answering in a particular role or from an industry's perspective.
Copy this template:
You are the [role] for [brand name], a store in Morocco.
Customer: [who they are].
Tone: [friendly, short, no pressure].
Language: [Darija in Latin letters / French / English].
Always: [the rules that never change, for example mention cash on delivery].
Never: [claims you cannot prove].
When you are not sure, ask me a question before you answer.
Replace the text in brackets with your own details.
Three Projects to set up today
- Brand voice. Knowledge: your best texts. Instruction: "Rewrite anything I paste in this voice and keep it under [number] words." Use it for captions, product pages and emails.
- Product research. Knowledge: your niche notes, supplier sheets, price list. Instruction: "Compare products using only the files in this Project. If a fact is missing, say so."
- Customer replies. Knowledge: your approved answers and delivery terms. Instruction: "Write a short WhatsApp reply that follows our approved answers. Do not promise anything that is not in the files."
Before and after
- Without a Project: every chat starts from zero, and you paste the same background again.
- With a Project: you open a chat and ask the question.
Keep it healthy
- Update the files when prices or policies change.
- Delete old files that contradict new ones.
- Keep instructions short. Long lists of rules get ignored or conflict.
- If an answer is wrong, check the knowledge files first. Claude can only use what you gave it.
My honest take
A Project is a briefing you write once. The time you save is not dramatic on day one, but the answers get more consistent every week because the instructions do not change with your mood.
